databird.GF incorporates a sophisticated system for managing and communicating with the many and various parties involved in the passing of a person.

The system includes a detailed Contact Record for the Deceased, Declarants and Loved-ones, including detailed invoicing information and tracking.

Suppliers can also be entered and organised according to their service or product.

The Deceased

Information concerning the Deceased can be entered and managed :

  • data about their death (time & date, place, certificate, height and weight)
  • link to the Contact Record of a Declarant
  • billing information, including invoice tracking
  • tracking of movements until their final destination (transfers, chapels, rooms …)
    ceremonies and the type, (burial, cremation)
  • notes

Communications & Planning

Meetings
Schedule and keep track of meetings with Family Members and Loved-ones of the Deceased. Funeral planners and other staff can organise their work collaboratively, 3rd party tools and calendars can be connected to the system.

Mailing Lists can be exported as Excel files or printed directly to mailing labels for invitations and announcements.

Task lists & Notes …
can be added to a Contact Record, each is time-stamped and includes a completion status (YES/NO).

The Task-list function allows for management and tracking of each stage from reception to final destination of the Deceased.

A Timeline visual representation provides a quick view of progress.

E-mail Integration
Using the e-mail address in the Contact Record, databird.GF can link to an IMAP server and manage incoming and sent communications without having to leave the application.

Document Library
Documents can be attached to Contact records. A Document can be given expiration dates and alerts can be assigned indicating an action must be taken.

Search
The Contact & Communication system is accompanied by a search engine for quick access to information.

Bar-codes …
can be generated and printed for quick tracking via the mobile application.

Finance

Cost Estimates
Present Loved Ones with detailed Cost Estimates generated directly in the system. Pricing can be in terms of period or quantity, item can be customised (such as text to be applied to a funeral plaque), multiple VAT taxes can be managed depending on the article or service. Cost adjustments (Re-Pricing) are easily managed.

Task lists can be created to follow progress.

Electronic Signing
Cost Estimates can be sent directly to the Client in PDF format for approval and signature.

Our databird.ES (https://databird.es) platform allows for easy online signing with 3-factor authentication (email, SMS, IP).

Integration of a third-party signature system (DocuSign, DeepSign, SwissSign, etc.) is also possible.

Physical signing can be done with a Wacom Tablet.

Invoicing
databird.GF includes a robust invoice management function, including :

  • Gratuities
  • Invoices can be generated directly from cost estimates
  • Advance payments
  • QR-Invoices
  • On-line payment – the system can be linked to on-line payment providers, such as PostFinance, Sumup, PayPal, etc.
  • Send invoices by e-mail directly from the system
  • Manage Cash Flow and Payments – import camt.054 data or connect directly to a bank via EBICS (v2.5 or v3.0).
  • Generate and send Reminders
  • Credit notes
  • Account statements
  • Export Accounting data (invoices, payments, credit notes) for use with external accounting software
  • Link Accounting data (via API or export) to third-party accounting systems such as WinBiz, Bexio, SAP and others.

Reservation of Halls and Chapels
Manage rooms, halls and chapels with databird.GF:

  • Pre-reservations – manage multiple reservation slots which are only confirmed and blocked once a Cost Estimate is signed
  • Block slots for maintenance and other interventions to avoid reservation complications
  • Agenda view – all of which can be quickly visualised with an ergonomic tool

Funeral Processions & Convoys
Plan and manage Procession and Convoys.

Transfer & Room Management
Workflow – list and management of transfers is available directly – destination, person responsible, can all be logged and managed in an ergonomic Transfer Dashboard.

A Visual plan of your facility is created, this interface allows for easy allocation and blocking of rooms and other chambers and chapels.

The Statistic function permits quick overview of information, such as Deceased identity, type of bereavement and ceremony, over a period of time.

An API is available to link data to other third-party tools.

Mobile Application

A Mobile Application is currently under development that will allow scanning of bar-codes, consulting information about the Deceased, quickly consult location of a the Deceased and Stock control (coffins, urns and other material).
